Manage effective and efficient operation of the RCMA Rollason State Office in a manner that enhances agency reputation and ensures top notch internal and external customer service.
Provide broad range of support services to ensure quality, timely production of the needed resources.
Provide support to the Executive Administrative Manager.
Essential duties and responsibilities include the following; other duties may be assigned:
Demonstrate professionalism and commitment to RCMA philosophy and mission Maintain professional attitude in communicating with all RCMA staff, families, children and members of the community Manage and evaluate office services:
Design and implement office policies Assign and monitor reception, clerical and custodial functions Oversee and set up administrative procedures and office systems Handle visitor/phone inquiries and ensure complaints are referred to Management personnel Provide administrative support to Management Team Compose/create correspondence, reports, forms, spreadsheets and other documents Coordinate office maintenance and repairs with Area Maintenance Prioritize and/or delegate work order requests Maintain inventory, track usage and order office supplies and other designated supplies Ensure efficient processing of incoming and outgoing mail/shipping Ensure money log is completed daily Maintain building safety and security Maintain state office phone systems Manage use of community classroom and boardroom Reception, clerical and maintenance supervision and staff development:
Monitor employee performance, attendance, and work schedule.
Provide orientation, training, coaching and assist staff with a professional development plan.
Provide regular feedback, individually and in staff meetings.
Maintain confidential personnel file for each staff with documentation to support evaluation decisions.
Conduct formal evaluation and or disciplinary actions promptly as needed.
Serve as the backup for Board meeting logistics (as needed):
Assist with logistical planning of all Board related meetings and events (scheduling meetings, securing space, communicating meeting information/agendas, confirming attendees, securing equipment, ordering food, creating and distributing material).
Assist with taking minutes, transcribing and disseminating as appropriate.
Assist with updating, maintaining and distributing Board roster.
Coordinate travel, meeting space, communication related to training and special events:
Negotiate prices and contracts with hotels for space, food, and rooms associated with meetings, training, conferences and special events.
Make individual travel arrangements for management staff as needed.
Provide organizational and administrative support associated with the development of resources and training materials for meetings, training, conferences and special events.
Active member of the golf tournament committee, providing support as needed, including participation at the annual golf tournament.
Monthly event planning to include birthday celebrations and annual years of service recognition.

Qualifications:
To perform this job successfully, an individual must be able to perform duties satisfactorily while exercising independent judgment, initiative and creativity in order to implement all job duties.
Must be highly organized with a high attention to detail.
High level of knowledge and skill related to application of Windows based software.
Individual must meet age, medical, moral character and any other requirements as defined by Florida Statutes.

Education and
Experience:
Associate degree preferred.
Experience managing an office.
Experience setting up and overseeing office systems.
Must type a minimum of 40 words per minute.
Travel and meeting coordination experience helpful.
Must demonstrate a high level of competence in utilizing Microsoft Office software.
Knowledge of Adobe and Publisher helpful.
Other:
Able to work flexible hours, occasional evenings, and weekends.
Must be age 21 or older and have a Florida Driver's License with a driving record acceptable to RCMA's insurance carrier.
Ability to work with degreed and non-degreed professional staff and families.

The check will bounce and the victim is left responsible.
